This guide was written by an accountant. Dawn Studio is run by a qualified accountant who has worked in practice, so the questions below are the ones we asked ourselves before we ever built a website or wrote a line of automation. No jargon, no hype, and an honest answer even where the honest answer is "it depends on your firm".

Why most accountancy websites do not bring in work

Most accountancy websites do not bring in work because they were built to look acceptable, not to win a client. They describe services in the same words as every other firm, they load slowly, they bury the phone number, and they give a business owner no reason to pick you over the practice down the road.

The typical site is a template with a stock photo of a handshake and a list that reads "bookkeeping, VAT, payroll, self assessment". A prospective client already knows accountants do those things. What they want to know is whether you understand their situation, how quickly you reply, what happens in the first month, and roughly what working with you feels like. None of that is usually on the page.

The second problem is technical. A slow site on a phone loses people before they read a word, and Google notices too. We hand-build every site with modern code, no WordPress and no page builders, which is how we get sub-second load times and strong Core Web Vitals. It also means fewer plugins to update and far less that can break or be hacked. You can see how we approach this on our website development page.

A site that brings in work does three things well: it loads instantly, it answers the questions a client actually has, and it makes the next step obvious. Everything else is decoration.

What AI actually does for an accounting practice (and what it does not)

AI removes repetitive admin from your week, and it does not do your judgement, your advice, or your compliance sign off. That distinction matters, because most of what is sold as "AI for accountants" is either a chatbot bolted onto a website or a promise that software will somehow replace a member of staff.

The useful version is quieter. It chases records for you on a schedule. It reads an email and files it against the right client. It drafts a reply you approve before it goes. It flags the three clients who have not sent anything for a fortnight instead of you scrolling a spreadsheet to work it out. Small things, done reliably, that add up to hours back.

What it does not do is form an opinion. It should never file a return, send something contentious, or make a decision a client will hold you responsible for. You stay in control of every automation we build, and anything that matters comes to you for approval first. That is a design principle, not a setting we hope you remember to turn on.

One more honest point. Our websites and SEO work is ready to buy today. Automation is different, because no two practices run the same way. We scope automation bespoke for each firm after a discovery call, once we understand your software, your team and your bottlenecks. We would rather build the right thing for you than sell you a box. More on that on the AI automation page.

Chasing clients for records: how to stop being the nag

You can stop chasing manually by moving the reminders off your desk and onto a system that follows up on a schedule you set. The chasing still happens. It just stops being you, at 8pm, writing the same email for the eleventh time.

Every practice knows this cost. A junior spends a morning a week on follow ups. Deadlines get tight not because the work is hard but because the paperwork arrived late. Clients feel nagged, you feel like a debt collector, and the relationship sours slightly every January.

A well built chasing flow knows which clients owe what, sends a first reminder in your tone of voice, escalates politely if nothing arrives, and stops the moment records land. You get a single view of who is outstanding, and you decide when something needs a personal call instead. The tone stays yours, because we write the messages with you rather than using a generic template.

How this is built depends entirely on where your records currently live and what software you already pay for. That is exactly the kind of thing we work out on a free call before quoting anything.

What a good chasing setup gives you

  • One clear list of who has sent records and who has not
  • Reminders that go out automatically and stop automatically
  • Messages that sound like your firm, not like a system
  • Escalation you approve, so nothing awkward goes out unseen

Onboarding and AML: getting a new client set up without days of admin

New client onboarding can run as a single guided flow instead of a scattered chain of emails, and that is usually the fastest win in a small practice. The client fills in what you need once, ID and AML checks are collected in the same journey, and the engagement letter follows without anyone rekeying details.

The usual mess looks like this. An enquiry comes in, you email for details, they reply with half of them, you ask for ID, they send a blurry photo, you chase proof of address, the letter of engagement sits unsigned for a week, and somewhere in there the professional clearance letter gets forgotten. Two hours of partner time on a client who has not paid you a penny yet.

Tightening this up does two things. It saves the admin, and it makes a strong first impression. A client who has just watched you onboard them smoothly assumes the rest of your work is that organised. It is the cheapest credibility you will ever buy.

We build onboarding flows around your existing checks and your existing risk assessment approach. We do not tell you how to do AML. We make the process of doing it faster, more consistent and easier to evidence when someone asks.

Why your practice is invisible on Google

Your practice is probably invisible on Google because your site has no pages targeting what people actually search for, and because Google has little reason to trust it. Ranking is not a mystery. It is content, technical quality and local signals, in that order of neglect.

Most firm websites have five pages: home, about, services, blog with two posts from 2019, and contact. Meanwhile people are searching for "accountant for limited company Manchester", "help with self assessment late filing", "CIS accountant near me" and a hundred other specific things. If you have no page that answers a specific search, you will not appear for it. Google cannot rank a page you never wrote.

Then there is trust. A slow site, thin pages, a neglected Google Business Profile and no reviews all tell Google you are a low priority result. Fixing the technical side is the part we handle at build time, since our sites are fast and clean by default. The content side is ongoing work, and it is worth doing properly rather than in bursts. Our approach is on the SEO page.

Local matters more than most firms realise. A practice in Stockport competing on the phrase "accountant" is competing with the whole country. The same practice targeting its town, its niches and its real specialisms can rank quickly and attract better fitting clients.

Your next client might ask ChatGPT for an accountant

A growing number of business owners now ask ChatGPT, Perplexity, Gemini or Google's AI Overviews to recommend an accountant, and those tools only recommend firms whose information they can read and trust. Getting into those answers is a different job from ranking on a search results page, and it is called Answer Engine Optimisation.

The mechanics are worth understanding. An AI assistant builds its answer from sources it can parse quickly and quote confidently. It favours pages that state facts plainly, answer questions directly under clear headings, and carry consistent details about who you are and where you work. A brochure site written in vague marketing language gives an assistant nothing to lift.

So we write and structure sites so a machine can extract a clean answer about your firm. Clear question headings. Direct first sentences. Structured data behind the scenes. Consistent name, address and service information everywhere it appears. It also happens to make the site better for humans, which is usually how you know a tactic is sound.

This is early. Most accountancy firms have done nothing about it, which is precisely why it is worth doing now. We work on it for our clients as standard alongside traditional SEO.

What this costs and how we work

You get a fixed price, agreed after a free call and before any work starts, with no hourly billing and no surprise invoices. You will know the number and the scope before you commit to anything.

We do not publish figures, for the same reason you probably do not. A three page site for a sole practitioner and a full site with ongoing SEO for a growing firm are different jobs, and quoting blind helps nobody. The call is genuinely free, there is no pressure in it, and plenty of them end with us telling someone they do not need what they thought they needed.

The process is straightforward. We have a call and work out what would actually move the needle for your practice. We send a scope and a fixed price. You approve it, we build, you review, we launch. Everything happens online, so distance is not a factor. We are based in Manchester and work with practices across the North West and the rest of the UK.

For automation specifically, the discovery call is the starting point rather than a formality. We need to see how your practice runs before we can tell you what is worth automating and what is fine as it is.

Why work with Dawn Studio

Because you will not have to explain your own profession to us. Dawn Studio is founded and run by a qualified accountant who has worked in practice, so we already know what a January looks like, why AML cannot be treated casually, and why "just send us the records" is easier said than done.

We build everything by hand with modern code. No WordPress, no page builders, no plugin sprawl. That gives you a site that loads in under a second, scores well on Core Web Vitals, stays secure and needs very little looking after. It is a slower way to build and a much better thing to own.

We also build our own software, so we are not only advising from the sidelines. Practix Control is our own product, practice management software we built for UK accounting firms. Alongside it, our portfolio includes client sites for MA Accounting Services and Aalpha Solutions. You can see the work on our work page, and more about how we help practices specifically on the for accountants page.

You always stay in control. Automations run on your terms, and anything that matters comes to you for approval before it happens.

If any of this sounds like your practice, the next step is a free call. No pitch deck, no pressure, just a conversation about where the time is going and whether we can help. Book through the contact page or email hello@dawnstudio.co.uk.
